Privacy Policy
Kinex Entry is an event entry service. Contestants use the Kinex Entry app to enter events, pay fees, see their draw and results, and keep their association cards and horses on file. Event producers, secretaries and timers use the Kinex Entry office console to run those events. This policy explains what information the service holds, why, who can see it, and how to have it removed.

What we collect
Things you give us when you make an account or enter an event
- Name, email address, phone number, mailing address and hometown
- Date of birth, where an event's rules depend on age
- Association membership cards you hold (association and card number)
- Horses you list, including Coggins test dates
- Photographs or documents you choose to attach, such as a doctor's or veterinarian's release when withdrawing from an event
- A profile photo, if you add one
Things created by using the service
- Your entries, withdrawals, draw positions, results and payouts
- Fees charged and payments recorded against your account
- Your position on waiting lists
Location. If you allow it, the app uses your phone's location while the app is open to sort events by driving distance. Location is used on the phone and is not stored on our servers. You can decline this permission and the app works without it.
Payments. Entry fees paid by card are charged through Stripe on the account of the event's organizer, and go to the organizer, not to Kinex Entry. Card details are handled by Stripe and never seen or stored by Kinex Entry. We keep a record of what was paid, when, and for which entry.
We do not collect advertising identifiers and the app contains no advertising.
Why we use it
- To take your entries, run the draw, post results and pay out — the service itself
- To confirm you meet an event's eligibility rules (age, cards, sanctioning)
- To let event staff contact you about an event you have entered
- To email you about your account, entries, or a request for office access
- To keep a record of results across seasons for your profile
Who can see it
- Event staff of events you enter — the producer, secretary and timers of an event can see the name, hometown, contact details, cards, entries and results of contestants entered in that event. That is how an event office has always worked; this service does not widen it.
- Other contestants and the public see day sheets and results: names, hometowns, draw positions, times and scores. They do not see contact details, documents or payment records.
- Service providers that run the software for us: hosting (Render) and email delivery (Resend). They process data only to provide those services.
- Nobody else. We do not sell or rent personal information.
We disclose information when the law requires it.
How long we keep it
Entry, draw and result records are kept as the event's books — indefinitely, because results are a matter of record. Documents such as medical releases are kept for the season they relate to. Account details are kept while the account exists.
Your choices
- See and correct your details in the app under Profile.
- Remove a document or horse from the app at any time.
- Delete your account: see Delete your account. We remove your account and personal details within 30 days. Results already published for events you competed in stay in those events' records, with your name, as the official result.
- Location: turn the permission off in your phone's settings.
Children
The service is for adults and for minors entering youth events with a parent or guardian's involvement. We do not knowingly create accounts for children under 13 without a parent or guardian. If you believe we hold information on a child without consent, email us and we will remove it.
Security
Passwords are stored hashed, never in plain text. Traffic between the app and our servers is encrypted. Access to contestant contact details is limited to staff whose credentials we have verified.
Changes
If this policy changes, the date at the top changes and the app's "What's new" will say so.
